1. Information we collect
When you send an enquiry or make a booking we collect the details you provide directly: your name, mobile number, email address, arrival and departure dates, number of guests, and any dietary or accessibility requirements you tell us about.
We also collect limited technical information automatically, including your IP address, browser type, device type and the pages you viewed. This is used only to keep the site secure and to understand which experiences visitors are looking for.
2. How we use your information
- To confirm your booking and send your voucher, itinerary and directions.
- To contact you about your stay, including any operational changes such as weather disruption.
- To process deposits and issue invoices or GST receipts.
- To answer questions you raise by phone, WhatsApp or email.
- To send occasional offers, but only if you subscribed to our newsletter. Every email carries a one-click unsubscribe link.
3. Payment information
We do not store card numbers, CVV codes or UPI credentials on our servers. Deposits are collected through regulated payment gateways and banks, which process the transaction on their own PCI-DSS compliant infrastructure. We receive only a confirmation reference and the last four digits of the instrument used.
4. Sharing with third parties
We share the minimum necessary information with the partners who help deliver your stay — for example a transfer driver receives your name, pickup point and phone number. We also use payment gateways, an email delivery provider and website analytics. We never sell, rent or trade your personal information.
We may disclose information where we are legally required to, such as the guest register that accommodation providers must maintain under Indian law, or a lawful request from a government authority.
5. Cookies and analytics
The site uses a small number of functional cookies to remember your preferences. Any analytics we run is configured to anonymise IP addresses. You can block or delete cookies through your browser settings; the booking form will continue to work normally if you do.
6. How long we keep your data
Booking records are retained for seven years to satisfy Indian tax and hospitality record-keeping requirements. Enquiries that never became bookings are deleted after 24 months. Newsletter subscriptions are kept until you unsubscribe.
7. Your rights
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that is inaccurate.
- Ask us to delete your data, where no legal retention duty applies.
- Withdraw consent for marketing at any time.
To exercise any of these, email stay@thekhadeen.com from the address you booked with. We respond within 30 days.
8. Security
The site is served over HTTPS, administrative access is restricted and multi-factor protected, and guest records are stored on access-controlled systems. No transmission over the internet can be guaranteed to be perfectly secure, but we review our safeguards regularly.
9. Children
Our services are booked by adults. We do not knowingly collect information directly from anyone under 18; details of accompanying children are provided by the booking adult purely to arrange beds, meals and age-appropriate activities.
